Reporting to the Shipping Coordinator , the Shipping and Warehouse Administrator is responsible for all aspects of executing, recording and monitoring all outgoing shipments via truck and rail.

Key Tasks:

  • Play a critical role not only ensuring your own safety, but also the safety of others. You will have direct accountability for ensuring familiarity and demonstrating the Commitment to Zero policy, leading with a safety mindset and modeling the 3 Safety Principles, modelling the 10 Tenets of Operation and having your own personal safety action plan.


  • Ensure scale tickets (weights, size, etc.), rail car seals, and billing are accurately completed in SAP system in order to effect accurate rail and truck shipping documentation, and maintain accurate and up-to-date records of all shipments.

  • Verify receipt of all empty HazMat waybills per DOT reg. and inspection sheets for all released tank and hopper cars. Track Demurrage within Excel spreadsheet.

  • Maintain files and perform general clerical duties. Other duties as necessary such as raw material input, inventory monitoring, reports, special projects, invoice verification etc.

  • Cover basic aspects of department responsibility of the Shipping Coordinator in their absence


  • Verify receipt of materials from suppliers. Confirm packing list material description, manufacturer, part number of item and quantities shipped by the Vendor match the information on the purchase order. Communicate any discrepancies found. Perform goods receipt in SAP on a timely basis and follow best practices.
  • Monitor reservations for goods issue. If applicable, pick the parts/quantity from picklist and “bag/tag” for pickup/delivery.
  • Operate forklift in a safe manner for material handling
  • Operate manual material handling equipment
  • Assist end users locating material and equipment stored in the warehouse.
  • Ensure all Warehouse safety programs and processes are implemented and adhered to

Outside of the skills and necessary qualifications, our ideal candidate must be committed to achieving superior results with integrity and sustaining our safe and positive work environment while having the ability to embrace working side by side others in a diverse culture.


  • Ability to work collaboratively in a team environment

  • Strong communication and interpersonal skills, and experience dealing with both internal and external clients at varying organizational levels

  • Self-starter, able to work with minimal supervision, multi task and to prioritise own work load

  • Strong attention to detail, accuracy, and organizational skills required
  • Ability to adapt to changing work pace

  • Ability to use warehouse equipment (forklift, pallet jack, hand jack)

  • Previous work experience in the transportation industry, specifically rail transportation, considered an asset


  • A minimum of Grade 12 education
  • Experience with Excel, MS Word (intermediate) required.
  • Experience with SAP or other data systems preferred but not required.
  • Availability and flexibility to work overtime shifts as required.
