General Expectations of the Fleet Admin Asst:

  • Assist the fleet manager in daily office management
  • Act as a liaison between the field and management
  • Cross train with coworkers on all duties as assigned
  • Provide superior customer service to the field.
  • Implement all CPS policies/ procedures, in a timely accurate manner
  • Other duties as assigned

Key Tasks:

The Ideal Candidate

Outside of the skills and necessary qualifications, our ideal candidate must be committed to achieving superior results with integrity and sustaining our safe and positive work environment while having the ability to embrace working side by side others in a diverse culture.

Skills:

Authorize Financial Expense (AFEs)

  • Process approved AFE received from the field
  • Review Request from field and obtain missing information
  • Assist the Field with any AFE issues

Ordering Vehicles/Equipment

For Pickups and passenger vehicles

  • Review order with locations
  • Process Order with Lease Company via Fleetwave

For All Other Equipment

  • Receive invoice for equipment
  • Review/ process invoice and collect all require information
  • Process order to lease company, or purchase via Accounts payable

Capital Transfers and Divestments

  • Process disposal form in Fleetwave and Client Sale Notices (CSNs)
  • Send notification to lease company and or Fixed Assets
  • Prepare title and bill of sale for sold Owned Assets

Sold Unit Notices (SUNs)

  • Receive and review SUNs against Fleetwave

Vehicle Acknowledgements & New Unit Notices (NUNs)

  • Receive reports and review against the order placed
  • Ensure equipment orders are complete and correct

Title and Registration Issues

  • Acquire paperwork for titling and registration
  • Manage title and registrations issues between field Lease Companies and S.T.A.R.S. (IRP regulations) to ensure compliance

Qualifications:

  • Minimum of 2-years Previous Administrative support in an office environment required
  • Pervious experience with vehicles, capital assets, inventory or related strongly desired.
  • High School Diploma or equivalent required. 2-year degree or more desired
  • Experience with MS Office and Excel required
  • Pervious experience with Vehicle purchase and sales process very helpful
  • Strong customer service background and mindset
  • Strong phone skills
